The 7-Step Checklist I Use Before Approving Any Commercial Appliance Order

If you're the one signing off on commercial appliance orders, and you've been burned before—by a quote that grew legs, by a dryer that sat dead for three weeks waiting on a part, by anything—this checklist is for you. Seven steps. Maybe fifteen minutes of thinking per order. It's saved me north of $30,000 over the last two fiscal years, and it's the first thing I hand new procurement hires who take on facilities responsibilities.

Here's what actually goes into total cost of ownership over a 5-year window: base unit, accessories, consumables, installation, service contracts, downtime, and end-of-life disposal. I built a spreadsheet for this back in 2022 after getting burned on a "budget" refrigerator purchase. The unit was $400 cheaper than the alternative. Over five years, it cost us $1,100 more—$300 in filters, $500 in early service calls, $300 in a retrofit bracket that wasn't mentioned anywhere in the spec sheet.

Run the model first. Then look at quotes. You'll start seeing the same data the vendors hope you skim past.

Step 2: Audit the Accessory Pipeline

This is the step most buyers skip, and honestly, it's the one that keeps biting people. Every appliance has a small universe of parts that have to exist and be orderable before the unit can actually function in your facility.

LG dryer side vent kits are the classic example. The dryer itself is a solved problem—anyone can quote you one. But if you don't have a vent kit spec'd and confirmed in stock at a local distributor, that dryer is a five-week paperweight. Step 3: Stress-Test the Service Network

Warranty coverage isn't the same thing as service coverage. Read the warranty, then call the service line and ask two questions: how many certified technicians cover your ZIP code, and what's the average time from ticket to on-site visit?

When I audited our 2023 spending, I found we'd paid almost $4,800 in "warranty-adjacent" costs—labor upgrades, expedited dispatches, replacement parts that weren't technically covered—for units still under warranty. That number shocked me. It shouldn't have. Warranty language has tiers, and the tier you want is the one that includes on-site labor and parts.

If the service network in your area is thin—one tech covering three states, for example—that's a real cost. Model it.

Step 4: Price the Consumables

Consumables are the subscription service attached to your appliance. Water filters, cleaning cartridges, gaskets, seals, door hinges. They're individually cheap and cumulatively enormous.

Our refrigerator water filters, for example, run about $55 each, and we replace them roughly six times a year per unit. That's $330 per unit annually. Across eight units, it's $2,640 a year just to keep one feature working.

Same logic applies to office kitchen gear, by the way. A nice easy-to-clean slow juicer has a pulp basket, a mesh screen, and a motor brush that all need replacing on a schedule. Ask the vendor for a 3-year consumables cost breakdown in writing. If they can't provide it, that tells you something.

I still kick myself for not doing this on a commercial dishwasher order back in 2023. The vendor quoted $4,200 for the unit and "included installation." What "included" meant was: they'd drop it in the room. Plumbing, electrical, ventilation, and old-unit removal were all extra. Total surprise cost: $1,780.

Now I require a line-item installation quote before I sign anything. It should cover delivery, positioning, connection to existing utilities, testing, old-unit disposal, and any structural modifications. If those line items are missing, I ask where they're accounted for. Usually, they aren't.

Step 6: Test the Smart Features Against Your Actual Workflow

Smart connectivity is genuinely useful—when it plugs into something you already use. ThinQ integration is a decent example: remote diagnostics, error code alerts, filter replacement reminders. Those features save real money if your facility team is already monitoring a dashboard.

But if your team isn't, and won't be, then you're paying a premium for a feature that just generates alerts nobody reads. That's a cost, not an investment.

The test I run: can I describe, in one sentence, the specific workflow this smart feature plugs into? If yes, it's worth considering. If no, I downgrade to the non-connected model and put the difference into the service contract.

Step 7: Negotiate the Things That Aren't on the Invoice

By the time you're at this step, the unit price is mostly set. What's still negotiable: payment terms, spare parts stock (they hold, you call), response time SLAs, warranty extensions, and training time.

I got our primary appliance vendor to guarantee a 48-hour on-site response window in exchange for a 3-year commitment on our service contract. That clause alone has saved us maybe $6,000 in downtime over two years.

Common Mistakes I've Watched People Make

Skipping the accessory audit because the unit is "standard." There's no such thing as standard once you're past the unit itself. Accessories are where the surprises live.

Trusting verbal promises. If it's not in the PO or the contract, it doesn't exist. I learned this the hard way when a vendor verbally agreed to cover a warranty part and then denied it six weeks later.

Forgetting the wellness angle on facility gear. This sounds off-topic, but it isn't. A team that's physically comfortable works faster. If you're outfitting a staff break room or a locker area, budget a little for wellness equipment—yes, even something as simple as asking "will a foam roller help lower back pain" for the crew that does heavy lifting. Small cost, decent return on morale and injury prevention.

Treating the quote as the final number. It's a starting number. The final number lives in the TCO model and the contract language.
